The Product & Contracting Manager for Asia oversees a large region with a range of product requirements impacting a variety of services and tours. Maintaining communication and ensuring all stakeholders issues and timelines are met and managed will ensure success in this role. Ongoing relationship and communication with stakeholders and vendors is key to building a strong brand and service standards.

Product: In destinations where product is developed and operated by G Adventures, the Product & Contracting Manager is required to support the development, ongoing optimization and management of all G Adventures tour products. In the case of supplier operated trips the Product & Contracting Manager will ensure service quality and branding commitments are delivered.

Contracting: Responsible for the sourcing of new vendors, reviewing of existing vendor relationships that are assigned to the role. The contracting role will focus on competitive costs and service quality standards to ensure the company maintains it’s competitive advantage. Through strong vendor relationships and fully understanding customer and company needs, the position is challenged with maximizing profitability and ensuring quality and service levels are achieved. Working with all stakeholders and utilizing the Vendor Management system to ensure the company objectives of the position are achieved is critical and ensuring proper communication and reporting is maintained are benchmarks for success in this role.

Responsibilities:

PRODUCT:

  • Construct new G Adventures tours in line with Innovation department RFPs
  • Execute ongoing changes to existing product in line with Innovation department requests
  • Coordinate local product and destination research needs as requested by Innovation
  • Act as the local subject matter expert for the specific destination and product (services, suppliers etc.) in that destination
  • Provide insight into potential new local experiences, suppliers, accommodations, routes etc. that could be utilized on existing or new G Adventures tours
  • Support the development and ongoing management of destination specific content
  • Work with CEOs and GMs to support product related projects
  • Act as the local resource for quality and brand assurance of activity, transport and accommodation providers to ensure an integrated G Adventures experience for customers
  • Ensure operational support materials, including CEO trip masters, are complete and accurate, and reflect the current product iteration as outlined in the G Adventures brochure
  • Work with the validation team and buyers to ensure trip budgets are complete and accurate and reflect the current product iteration as outlined in the G Adventures brochure
  • Conduct and work with CEO’s to conduct hotel inspections to ensure G Adventures minimum standards are being maintained
  • Coordinate with local buying team to integrate new contracts into the relevant product materials, including trip masters, trip budgets etc.
  • Support the maintenance of the G Adventures services database content
  • Assist or lead special product related projects including new destinations, G properties, Planeterra product integration (IDB for example)
  • Support CEO training and management with product related to ensure CEOs are providing a consistent product experience that reflects the current product iteration as outlined in the G Adventures brochure
CONTRACTING:
  • Consistently monitor customer feedback (evaluations) to ensure contracted services are achieving company goals related to service level expectations, (NPS and red flags)
  • Develop and lead buying strategy and vision through consultation with stakeholders and senior management to deliver budgeted results for the region
  • Deliver on quality buying strategy focused on cost objectives and services standards
  • Drive contracting cycle of 12 – 24 month
  • Negotiate, maintain and communicate vendor contracts to all stakeholders
  • Growing relationships with existing vendors and sourcing new vendors for future product needs and building effective vendor data base
  • Ensure that G Adventures is a preferred customer with vendors we work with
  • Establish consistency in contracting process Globally
  • Ensure branding message is delivered to all vendors ensuring a stronger brand presence
  • Embrace and lead change as the company launches new initiatives
  • Communication of results (costs and cost estimates) to Product/Operations team to meet deadlines as needed
  • Awareness of competitive marketplace via vendor relationships and market intelligence
  • Maintain the central depository or contracts for all end users to access efficiently
  • Lead and manage the Quality Assurance Audits (QAA) for the region
  • Encourage and promote our social enterprise purpose through our vendor selections and engagement
  • Maintain an ethical and fair contracting practices to protect the G Brand
GENERAL:
  • Ensuring updated costs for coming year are received, negotiated and contracted by target deadlines for brochure
  • Ensure quality and service standards are maintained through the introduction of QAA and SOP’s
  • Review monthly Trip Profitability Reports with (GM and VP) to understand results and trending as well as setting urgent priorities
  • Manage and control travel and admin costs budgeted for the position
  • Establish and maintain vendor management system report

Requirements:

  • 2- 4 years relevant contracting/buying experience
  • Travel industry experience an asset
  • Superior knowledge of the region and tourism market
  • Superior negotiation skills with valid experience
  • Advanced oral and written skills
  • English and second language applicable to the region (written and oral)
  • Experience with buying cycle and process
  • Knowledge of vendor management system/process
  • Exceptional customer service and communication skills
  • Proven experience in administrative and management skills
  • Intermediate to advanced knowledge of Microsoft Word, Excel and ability to learn G Adventures in house software, (Compass, Polaris,Trip Editor, Validations)
  • Willingness and ability to travel
